SAP CO — Know the three starting records
- Cost centre
- A cost centre represents an area responsible for costs, such as a department. Check its validity dates and controlling area.
- Expense account
- The account and its configuration determine how the posting is treated in finance and controlling. Use the account specified in your exercise.
- Reporting period
- Keep the fiscal year, period and currency consistent. A correct posting can look missing when the report uses different filters.
Example: follow a 100-unit expense
Read the starting report
Display your assigned cost centre for the exercise period and note its current actual cost.
Inspect or enter the expense
Use an authorised example with an amount of 100 in the exercise currency and the intended cost-centre assignment.
Refresh the same report
Keep the original filters. Find the additional line item and open its source document.
Explain the difference
If plan data exists, compare it with actual cost and explain the variance in ordinary language.
If something differs
The cost is missing
Check the posting date, cost object, report currency and document status.
The variance looks wrong
Make sure the plan and actual selections cover the same period and scope. An empty plan does not mean an actual posting failed.
